- Own the day-to-day rhythm of two busy executives: calendar management, travel, meeting coordination and expenses — keeping everything running seamlessly.
- Act as a trusted gatekeeper and key point of contact between the Executives and internal and external stakeholders.
- Bridge multiple departments (Finance, HR, Marketing, Events and Legal) ensuring smooth cross-functional communication and coordination.
- Prepare polished presentations, reports and briefing documents that set executives up for success in every meeting.
- Drive follow-up on action items and deadlines across teams, making sure nothing falls through the cracks.
- Handle sensitive and confidential information with absolute discretion and professionalism.
- Play a key role in organising Board meetings, investor relations calls and high-profile events.
- Manage relationships with external providers, from catering to suppliers, with care and efficiency.
- Lead and coordinate the Office Management team, bringing structure and direction to the wider support function.
- Jump in on ad hoc projects where your initiative and judgment make a real difference.
- Exceptional organisational and time-management skills, with the ability to juggle multiple priorities without losing composure or detail.
- Outstanding written and verbal communication in both English and Italian: professional, precise, and always appropriate to the audience. Additional languages are a plus (French, Spanish, German or Dutch are preferred!)
- Proven experience coordinating complex schedules, travel logistics, and meetings across multiple time zones.
- Resilient and highly adaptable: you don't just handle change, you navigate it with ease and keep others steady around you.
- Proactive and solution-oriented, with a natural instinct to anticipate needs before they become problems.
- A true ownership mindset: you take full accountability for your work, follow through without being asked, and treat the executive's priorities as your own.
- Flexible and dependable when it counts, stepping up when the unexpected happens without missing a beat.
- Genuinely curious about AI and comfortable using it in your day-to-day work. You don't need to be a technologist, but you're someone who explores new tools with enthusiasm, embraces what AI can do, and is always looking for smarter ways to work.
- 40 hours a week, permanent
- Monday to Friday
- Office based in Milano Lambrate
- Additional travel (business trips) may be required
