Based in Italy, this role will provide dedicated support to a select group of senior executives located across various countries. As a member of a global community of over 185 administrative professionals supporting more than 750 executives, you will contribute to delivering best-in-class administrative services tailored to individual needs. The ideal candidate will demonstrate exceptional communication skills, discretion, and the ability to manage complex schedules and logistics with minimal supervision. This position offers a unique opportunity to build trusted partnerships, work in a dynamic international environment, and grow within a team committed to excellence, continuous learning, and career development.Roles and ResponsibilitiesPlan, organize, and manage senior-level meetings and events from start to finish, including scheduling, reserving meeting space, ordering catering, planning dinners, developing and managing agendas, and preparing materialsDraft and edit communications on behalf of executivesCommunicate effectively with internal and external contacts, demonstrating professionalism and clarityCreate comprehensive travel packages for business trips with minimal instruction, including flights, accommodations, and itinerariesProactively engage in planning and forecasting meetings involving executives, staff, and external stakeholdersAssist in tracking organizational action items and monitoring the status of tasks and initiativesManage executives’ schedules, making independent decisions to prioritize and optimize time allocation. Prioritization is key to ensuring time is used effectively and focused on high-impact areas.Who You AreRequired QualificationsStrong oral and written communication skills in EnglishAdvanced calendar management across time zonesProficiency in Microsoft Word, Excel, PowerPoint, Teams, and Concur/Expense toolsExperience coordinating meetings, events, and classes with attention to detail.Preferred QualificationsFamiliarity with Microsoft Copilot or similar AI productivity toolsExperience supporting executives in a multinational environment.Being YouDiversity is a whole lot more than what we look like or where we come from, it’s how we think and who we are.
