The remaining 25% of the role involves supporting general office operations and administrative activities across both locations.
This position is well suited for someone who enjoys operational work, particularly in procurement, while also being comfortable handling office and administrative tasks in a dynamic, multi-location environmentWHAT YOU’LL DOProcurement:
- Process purchase requests for IT hardware, software, office supplies, and services.
- Create and manage purchase orders; track deliveries and maintain accurate procurement records.
- Partner with internal teams to clarify requirements and ensure timely fulfillment.
- Coordinate with vendors on quotes, pricing, delivery timelines, and order details.
- Support sourcing activities by identifying suppliers, comparing offers, and maintaining the vendor database.
- Ensure compliance with procurement policies, approval workflows, and documentation standards.
- Support day-to-day office operations in Milan, including supplies, deliveries, meeting rooms, and visitor coordination.
- Coordinate local office events, team lunches, and executive visits.
- Serve as a point of contact for employee office-related requests.
- Provide remote operational support for the Turin office (supplies, shipments, equipment logistics).
- Support travel-related administrative tasks, manage the internal travel mailbox, and coordinate with external agencies.
- Assist with general administrative tasks, including onboarding/offboarding and system updates, as needed.
- Experience in procurement administration, office coordination, or a related operational role.
- Strong organizational skills with high attention to detail and accuracy.
- Ability to manage multiple tasks, follow structured processes, and meet deadlines.
- Clear and professional communication skills in Italian and English.
- Comfortable working independently while collaborating with cross-functional teams.
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint).
- Experience using procurement or ERP systems (e.g., Coupa, SAP, Oracle).
- Basic knowledge of IT hardware, software, and related purchasing categories.
- Experience supporting vendor coordination, sourcing, or contract-related activities.
- Milan office — minimum of 3 days per week onsite.
- Additional onsite presence may be required for executive visits or office events.
- Turin office — supported remotely; onsite presence is rarely required.
