- Key responsibilities of an QHSE Officer (Europe Administrative Support) include:
- Provide daily administrative support to the QHSE (Quality, Health, Safety & Environment) department
- Draft, update, and manage QHSE documentation (procedures, work instructions, quality plans, registers, etc.)
- Archive documents both digitally and physically, ensuring compliance with relevant standards (e.g. ISO 9001, ISO 14001, ISO 45001)
- Assist in the preparation and organization of internal and external audits, including collecting and organizing documentary evidence
- Monitor deadlines for document reviews, certifications, and mandatory training
- Support the preparation and revision of Risk Assessments, Incident Reports, and other HSE-related reports
- Communicate with suppliers and clients to exchange or validate QHSE-related documents
- Assist with onboarding activities for new staff (e.g. delivery of PC, training records, signing of forms)
- Prepare presentations, statistics, and QHSE reports (e.g. KPIs) for management or clients
- Enter data into company tools for tracking non-conformities, complaints, and corrective/preventive actions (NCR, CAPA)
- Update dashboards and QHSE digital tools (e.g. , Assure, SharePoint, Power BI, Quentic and other EHS management software)
- Coordinate with IT and Office Management teams for health and safety-related needs
- The minimum requirements for the role are: Italian mother tongue; fluent written and spoken English, Knowledge of MS office instruments, including planning tools, University Degree
- Good knowledge of current informatics systems (Windows, Office Package, Lotus Notes, Visio, Adobe)
- Basic Knowledge of Quality Management System principles (ISO 9001)
- Basic Knowledge of H&S Systems, including relevant Italian legislation (ISO 45001)
- Basic Knowledge of Environmental Systems (ISO 14001)
- Flexible and cooperative 7. Basic Knowledge of Information Security Management System (ISO 27001)
- Good communication skills
- Diplomatic, wise, honest, acting in conformance with privacy law
