Groups CoordinatorJob Title: Groups CoordinatorReports To: Director of Sales & Distribution Cardo RomaDepartment: Sales & EventsJob Summary:The Groups Coordinator is responsible for the management and coordination of group bookings, ensuring a seamless and positive experience for group guests. This position works closely with the sales and event teams to ensure the proper handling of event logistics, reservations, and client communications. The role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment.Key Responsibilities:Client Liaison: Serve as the main point of contact for group clients before, during, and after their stay. Ensure client expectations are met and provide solutions for any issues that arise.Event Coordination: Assist in coordinating meeting room setups, AV equipment, catering requirements, and other event logistics for groups.Communication: Maintain clear communication with all internal departments (sales, front desk, housekeeping, food & beverage, etc.) to ensure the smooth execution of group events.Reports & Documentation: Prepare and manage reports related to group bookings, contracts, and billing, ensuring accuracy and timely updates.Guest Experience: Strive to provide a high level of customer satisfaction by anticipating client needs and exceeding their expectations.Problem Solving: Address any issues or conflicts that may arise during the booking or event planning process and work towards quick and effective resolutions.Sales Support: Provide support to the sales team by ensuring group contracts and booking details are handled professionally and efficiently.Qualifications:Experience: Previous experience in hotel as an event coordination, or customer service is preferred.Education: A high school diploma or equivalent is required; a degree in hospitality management or a related field is a plus.Skills:Strong organizational skills and attention to detailExcellent communication and interpersonal skillsProficiency in Microsoft Office Suite and property management software (knowledge of Marriott systems is a plus)Ability to handle multiple tasks and meet deadlines in a fast-paced environmentStrong problem-solving skills and the ability to think on your feetKnowledge of event planning and group coordination is beneficial
